Position Overview

The Project Manager is completely responsible for the successful completion of the job, which includes being on time, on budget and maintaining a high level of quality. They need a good working knowledge of residential construction. They must exhibit good judgment, high ethical standards, good oral and written communication skills, and strong leadership abilities. It is expected that a Project Manager can effectively oversee up to 3 projects or approx. 1 million in revenue at a time.

Educational Requirements

High School, some college or trade school is desirable.

Duties & Responsibilities

Job Planning & Set Up

  • Review plans, estimate and scope of work, SOW, in advance of project start. Ask for clarification of any discrepancies from Designer and Production Manager in advance.
  • Review and follow the OSHA Job Safety Report provided by the Production Manager.
  • Adjust the flow of the schedule as needed, without adding labor, prior to start.
  • Post permits, job safety signs, fire extinguishers and first aid kits.
  • Perform an inspection of existing conditions to determine if there is damage or obstacles not covered in the contract.
  • Record existing damage to the home that is outside our SOW.
  • Know and label all shut off locations.
  • Save all items that are indicated for reuse or donation.
  • Oversee the set up and maintenance of dust and existing surface protection.

Budget & Change Orders

  • Understand the estimate and it’s components in order to protect the gross profit margin.
  • Assist the Production Manager with writing and issuing Change Orders, COs. Do not perform work outside the SOW without a signed CO.
  • Review the labor tracker to ensure we are on track and adjust schedule when needed.

Job Management

  • Unlocking the jobsite each day and securing the property at the end of each day.
  • Maintain a clean job. Projects should be broom swept daily and vacuumed at the end of each week.
  • Ensure that everyone on sight adheres to company policies concerning safety, cleanliness, and customer satisfaction, minimizing our exposure to risk.
  • Maintain the BT schedule, adjusting daily as needed.
  • Issue BT daily logs. Recording who was on sight, any problems that may have arisen and how they were resolved.
  • Store all user’s manuals, touch up kits and finalized permit plans in a designated spot for the owner.

Project Oversight

  • Ensure that all work on each project is completed according to MDBI standards, on time & on budget.
  • Complete quality checks throughout the project to ensure the highest quality finish.
  • Ensure that subs work aligns with plans by completing task such as, setting ledger lines, center lines etc.
  • Ensure that proper blocking is in place for plans and possible future accessories.
  • Ensure that all MEP runs are in proper location, that framing modification meet code requirement., and that there are no surprise bulkheads, access panels etc.

Job Close-Out

  • Write a job completion list using BT to-dos during trim out. With the goal to deliver a 0-punchlist project to the customer.
  • If there is a punch list after substantial completion, write it up and get customer acceptance before scheduling completion.
  • Oversee the final clean, removing all tools, garbage cans, job signs and lock box, returning the key to the Customer.
  • Record paint color information inside the light switch of each room.

Networking & Marketing

  • Initiate and maintain positive relationships with the neighbors.
  • Send “Pardon our Dust” letters
  • Install and maintain a company job sign.
  • Distribute door hangers
  • Take Photos and videos for Marketing Team

Customer Satisfaction Tasks

  • Oversee a successful project that earns our team a 5-star review.
  • Organize and lead weekly customer check in meetings to walk them through the project.
  • Outside of those meetings, politely greet clients when they are on sight. answering any questions as precisely as possible, redirecting them to the designer as necessary.
  • Provide answers to client questions within 1 business day.
  • Write weekly update job logs in BT. State what has been completed, what is coming up next (calling out any particularly disruptive tasks), and what decisions you may be waiting on the client to make.
  • Review weekly client satisfaction surveys in BT. Follow up with the client if these are not being completed.
  • Conduct an owner orientation upon substantial completion.
  • Never use a client’s property or tools.
  • Ensure clients property is well protected through the course of a project.

Scheduling and Supervision of Carpenters

  • Assign Carpenters weekly/daily task using the BT schedule and To-dos
  • Oversee quality and cleanliness.
  • Review and approve time logs at the end of each day.
  • Provide performance feedback to the Production Manager.

Supervision and Scheduling of Subcontractors

  • Schedule subs no less than 2 weeks in advance.
  • Confirm scheduled subs 2 days in advance.
  • Be prepared for subs on the day they are scheduled.
  • Ensure that each sub has been provided with the correct information before they arrive on the job.
  • Provide planning assistance to trade contractors. Oversee that utility holes in drywall and framing are efficient and to code.
  • Answer any questions they may have on sight.
  • Check each subs work when they are finished.
  • Ensure that each sub cleans up after themselves and removes any of their unused materials.

Material Tasks

  • Place standard material orders including lumber and trim.
  • Order the proper amount of material to ensure shopping trips are limited to once every 2 weeks.
  • Check the status of special-order materials at the beginning of each job. If they have not been ordered, ensure they are ordered in enough time to meet the schedule.
  • Provide RO for special order materials such as doors and windows.
  • Receive material deliveries on sight, checking for accuracy and damages and updating BT accordingly.
  • Return undamaged materials at the first available time.

Material Tasks

  • Ensure that company and individual tools and PPE are safe to use.
  • Request company tools and equipment from the Production Manager as far in advance as possible using the BT daily logs.
  • Clean and return tools and equipment to storage as soon as they are done being used on sight. Inform the Production Manager of their return using a BT daily log.
  • Inform the PM of any issues with company tools or equipment and request replacements or repairs when needed.

Inspection Tasks

  • Schedule inspections 1 week in advance.
  • Be prepared for inspections on the day they are scheduled.
  • Meet with inspectors. Ask insightful questions when needed to help advance in the case of a failed inspection.

Meetings

  • Prepare for and participate in Job Start Meeting.
  • Schedule and lead milestone meetings, including box walk through, close in, top measure and Owner orientation.
  • Prepare for and participate in job debriefs.
  • Attend all company meetings.

  • Dress appropriately in a clean Merrick shirt and pants free of rips.
  • Absolutely no alcohol or illegal drugs may be used on the job or anywhere near the jobsite, even outside working hours. Such use of alcohol or illegal drugs will result in immediate dismissal.
  • Tobacco products are not allowed on job sites or company vehicles.
  • Weapons of any kind are not allowed on job sites or company vehicles.
  • It is strongly encouraged that employees maintain standard vaccinations such as tetanus, flu, and covid-19.

Measurement of Performance

  • Each project is to be completed with no more than a 2% over-run to budget unless approved by president.
  • All projects are to be brought in on time according to project schedule developed within variance of 5%; with exception of approved client change orders, or project change orders approved by president or other exceptions approved by president.

Work Hours

  • The standard workday is from 8 am to 4:30, with a 30-minute lunch break.
  • Must be available for flexible work hours if required and be available after hours should emergencies arise during projects.

Evaluation Requirements

Annual Performance Review

  • Consists of a review of this job-description, a detailed survey completed by the
  • Designer/Salesperson in advance, and the setting of annual goals.

Quarterly Check-In

  • Consists of a review of progress made in personal and professional goals along with a brief survey completed by the Estimator/Preproduction Coordinator in advance.

Annual Compensation Review

  • This review will be conducted independently and consists of a review of the measurements of performance, previous year’s goals, and the current salary.

Chain of Command

  • This position reports directly to the Production Manager.
  • Carpenters and apprentice carpenters answer to the Lead Carpenter on sight.
